Privacy notice for beta users
- TaxBeacon AI is currently in beta. This notice explains how we handle information submitted while testing and operating the product.
Information we collect
- We may collect account information such as name, email address, authentication identifiers, firm name, and usage details.
- We may also process research queries, matter names, uploaded or pasted facts, generated outputs, source records, feedback, and technical logs needed to operate and improve the service.
Client information
- TaxBeacon AI is designed for professional tax research, but beta users should avoid submitting unnecessary sensitive personal information.
- Where possible, use anonymized or minimized facts.
AI and infrastructure providers
- To generate research outputs, TaxBeacon AI may send prompts, retrieved source text, and related context to configured AI model providers, model routing providers, hosting providers, authentication providers, database providers, and monitoring tools.
- These providers process information as needed to operate the service, subject to their applicable terms and privacy practices.
Data use
- We do not sell user data.
- We do not intentionally use beta customer queries or client file contents to train public AI models.
- Aggregate, non-identifiable usage patterns may be reviewed to detect errors or improve the pipeline.
Retention
- We may retain research history, matter records, generated outputs, source metadata, feedback, and technical logs while your account is active and for a reasonable period afterward for service operation, auditability, debugging, and legal or security purposes.
Access or deletion requests
- Beta users can request export or deletion of account-related data by contacting hello@taxbeaconai.ca.
- Some records may be retained where needed for security, legal, backup, or audit purposes.
Security
- We use reasonable technical and organizational safeguards appropriate for a beta product, but no system can be guaranteed completely secure.
